Senior / Administrator, Group Secretariat & Governance

Our client is seeking an organised and detail-oriented Senior / Administrator to join their Group Secretariat & Governance team. This role involves supporting the team in maintaining compliance with regulatory and filing obligations for managed corporate entities and providing proactive secretarial and administrative support to ensure the smooth functioning of governance processes. The successful candidate will demonstrate strong organisational skills, confidentiality, and a collaborative approach while maintaining high standards of accuracy.

 

Job Duties:

  • Ensure all managed entities remain in good standing, meeting jurisdictional deadlines and regulatory requirements.
  • Provide proactive company secretarial support, including arranging meetings, preparing board packs, working with stakeholders, and monitoring board actions.
  • Assist the Senior Manager with internal forums and committees, such as Group ORF, Group CRF, and other local forums as needed.
  • Maintain accurate and up-to-date data for in-house entities across all relevant databases.
  • Support the maintenance of the Group Policy & Process Framework and update systems such as MetaCompliance.
  • Ensure centralised statutory documentation is accurate and current.
  • Assist with maintaining the Group contracts register.
  • Regularly review and update the Approved Document Library for accuracy.
  • Provide ad-hoc support to business management functions as required.
  • Collaborate constructively with the Business Management team, including assisting with bi-annual feedback surveys.

Job Requirements:

  • A minimum of one year’s experience in trust and company administration, company secretarial, or legal fields.
  • A Levels, BTEC equivalent, or studying towards a relevant professional qualification such as Corporate Governance Institute or Society of Trust and Estate Practitioners.
  • Strong organisational and time management skills with the ability to prioritise and meet deadlines.
  • Excellent interpersonal and communication skills, with strong grammar and written abilities.
  • Proficiency in Microsoft Office applications and a high level of attention to detail.
  • A collaborative team player with a commitment to maintaining confidentiality in sensitive matters.
  • Familiarity with regulatory and legal compliance requirements, maintaining CPD, and staying updated on technical matters.
  • An understanding of cultural sensitivities across different jurisdictions.
