Legal Secretary

The role involves providing essential secretarial and administrative support to designated fee earners, enabling them to focus on client-related work. This position aims to enhance the efficiency of the team by ensuring that the administrative aspects of legal practice are managed effectively. The successful candidate will report to the Group Practice Coordinator and relevant Partner(s) within the legal practice group. Key responsibilities include managing diaries, handling correspondence and phone calls, and assisting with document management. The role requires significant interaction with clients and colleagues, underscoring the importance of professionalism and confidentiality. The position can be offered on a full-time basis, operating standard hours of either 08:30 to 17:00 or 09:00 to 17:30, amounting to 37.5 hours per week. The environment encourages collaboration and mutual support amongst team members, fostering a cohesive working experience.

Job Duties:

  • Typing, transcribing, and performing other word processing tasks
  • Filing and managing correspondence
  • Handling telephone and conference call duties
  • Managing diaries and scheduling meetings
  • Checking and processing business-related expense claim forms
  • Managing files and archiving, ensuring proper data capture for new matters
  • Assisting with conflict checks and document proof-reading
  • Providing PA support to Partners
  • Assisting with matter management and team billing on the 3ECRM system
  • Supporting marketing and business development activities

Job Requirements:

  • Previous experience as a legal secretary or personal assistant, with familiarity in legal documentation
  • Educated to A-Level standard (or equivalent)
  • Proficiency in MS Office applications, especially in word processing
  • Good typing speed and accuracy
  • Relevant secretarial or administration qualifications are advantageous
  • Excellent interpersonal and communication skills, often acting as the first point of contact for clients
  • Ability to maintain confidentiality and demonstrate discretion
  • Strong planning and organisation skills, with flexibility and adaptability to changing tasks
