Our client is seeking an HR Operations Coordinator for a full-time role based in the Isle of Man. This position is responsible for providing comprehensive administrative support across the employee lifecycle, including contract management, onboarding, payroll support, benefits administration, and HR systems management. The role also involves work permit support and ensuring HR processes comply with legal and organisational standards.
Job Duties:
- Manage the shared HR inbox and respond to HR-related queries from employees
- Draft and issue contracts of employment, including offer letters and contractual amendments
- Conduct right to work checks in accordance with legal requirements
- Coordinate all new starter processes including onboarding, HRIS set-up, and liaising with Facilities and IT for company equipment and IDs
- Facilitate Isle of Man new starter inductions (both face-to-face and virtual)
- Process employee changes such as salary amendments, working hours, job titles, and team transfers
- Manage leaver processes including terminations in the HRIS, calculation of final payments, and coordination of exit interviews and equipment returns
- Administer Isle of Man employee benefits, including onboarding and removal of members, liaising with external providers, and processing invoices
- Support the HR Leads with right to work and visa administration
- Maintain and update internal databases such as family-friendly leave records and contractor registers
- Act as local data custodian, ensuring accuracy and security of employee data in line with GDPR and legislative requirements
- Manage HR filing systems in accordance with legal and regulatory standards
- Submit Isle of Man work permit applications and liaise with immigration offices as required
- Run weekly and monthly HR reports as needed
- Contribute to the continuous improvement of HR processes and systems
- Stay up to date with employment law developments and HR best practice, sharing relevant insights
Job Requirements:
- Proven experience in HR administration or HR operations
- Strong organisational skills and attention to detail
- Working knowledge of GDPR and employment regulations
- Excellent communication and interpersonal skills
- Confident handling confidential and sensitive information
- Comfortable using HRIS systems and Microsoft Office applications
- Ability to manage competing priorities and meet deadlines
- Willingness to travel to the local immigration office as required
- Proactive and flexible attitude to work
