Administrative Assistant, Finance & Corporate

Our client is looking for a highly organised and detail-oriented Administrative Assistant to join their team in Jersey. This full-time role offers the opportunity to support teams by providing proactive administrative and secretarial assistance. Job Duties:

  • Conduct company search administration, including electronic registration and release of security interests on the Security Interests Register (SIR).
  • Run daily searches of the Jersey Registry and SIR, and liaise with the Judicial Greffe for Bankruptcy and CWU searches.
  • Maintain internal records and reconcile monthly billing.
  • Order Certificates of Good Standing for various entities and collaborate with the billing team for reconciliation.
  • Ensure timely and accurate processing of expenses, and assist the Finance Team in preparing client bills.
  • Manage diaries and coordinate travel arrangements, including booking flights, hotels, and transfers.
  • Schedule and coordinate meetings across time zones using Webex and Teams, including preparing information packs.
  • Update and manage contact records, including adding information and client meeting notes after business development trips or meetings.
  • Handle phone calls, manage emails and documents, and provide secretarial support across different practice groups and jurisdictions.

  • Excellent organisational skills with the ability to multi-task and re-prioritise to meet urgent deadlines.
