Company Administrator

Our client is seeking a Company Administrator to join their team in the Isle of Man. This is a full-time, permanent role ideal for someone with a minimum of two years’ experience within a Corporate Service Provider (CSP). The successful candidate will be responsible for administering a portfolio of client companies to a high professional standard, supporting the Client Portfolio Manager, and collaborating across departments to ensure all client requests are handled efficiently.

Job Duties:

  • Administer a portfolio of client companies with professionalism and accuracy
  • Respond to existing and new client enquiries, including preparing quotes
  • Submit name checks and reservations to relevant registries or agents
  • Arrange incorporation of companies across jurisdictions and complete necessary documentation
  • Assist with structuring of newly incorporated companies
  • Liaise with the Business Development Team on the administration of companies for new clients
  • Review and sign off New Company Checklists and manage ongoing requirements
  • Prepare documents such as Powers of Attorney, Certificates of Good Standing, certified/legalised documents, and additional resolutions
  • Prepare and file Annual Returns and AGM minutes where required
  • Monitor and remind clients of filing and tax deadlines to avoid penalties
  • Handle day-to-day company administration such as changes to officers, share issues/transfers, name changes, and updating statutory documents
  • Maintain bookkeeping records or arrange preparation of annual accounts
  • Open and manage bank accounts and ensure proper operation where acting as signatories
  • Review contracts and agreements and summarise content for signing directors, preparing minutes/resolutions accordingly
  • Maintain orderly correspondence, statutory, and client files
  • Arrange closures of defunct companies and manage file archiving procedures
  • Perform company searches in offshore jurisdictions
  • Prepare billing request forms and ensure accurate data input into ViewPoint for invoicing
  • Ensure all client and company records are current in ViewPoint Administrator and Billing systems
  • Remain familiar with all internal systems and procedures
  • Maintain knowledge of the full range of corporate products, services, and fees

Job Requirements:

  • Minimum two years’ experience within a CSP
  • Strong understanding of corporate administration and company law across jurisdictions
  • Experience working with ViewPoint or similar systems
  • Solid organisational skills and attention to detail
  • Ability to work independently and as part of a team
  • Knowledge of anti-money laundering and due diligence requirements
  • Professional communication skills, both written and verbal
