Office Support Administrator

Our client is seeking an Office Support Administrator to join their dynamic team on a full-time basis. This role offers an exciting opportunity to work within a supportive environment, contributing to the smooth running of the office. The successful candidate will be responsible for a range of administrative tasks that are crucial to the daily operations. This includes managing correspondence, supporting client interactions, and assisting with diary management for the professionals within the firm. The ideal candidate will possess strong organisational skills, attention to detail, and a commitment to maintaining high standards of confidentiality and efficiency.

Job Duties:

  • Open, sort, and date stamp incoming mail.
  • Handle client telephone calls and inquiries.
  • Meet and greet visiting clients professionally.
  • Provide refreshments to clients and ensure meeting rooms are kept clean and tidy.
  • Support Fee Earners and Executive Assistants with opening new matters and letters of engagement.
  • Make client appointments and assist Executive Assistants in managing lawyers’ diaries.
  • Prepare schedules of work in progress for the relevant practice area.
  • Open new matters, dispatch letters of engagement, and assist in collecting due diligence.
  • Learn tape dictation for Corporate & Dispute Resolution.
  • Undertake legal research under supervision.
  • Scan, copy, file, and archive documents as required.
  • Assist with printing and collating board packs for Corporate meetings.
  • Order and maintain stationery supplies, ensuring the stationery store is organized.
  • Monitor shredding bins and arrange for collection and replacement when full.
  • Learn the firm’s policies and business processes while ensuring compliance with confidentiality, data protection, and file retention requirements.
  • Undertake other duties as required from time to time.

Job Requirements:

  • Minimum of GCSE English Grade 9 – 4 (formerly A* - C).
  • Working knowledge of Microsoft applications, particularly Outlook and Word.
  • Team player with the ability to work collaboratively.
  • Quick learner with a proactive mindset.
  • Competent in taking and forwarding messages accurately and promptly.
  • Articulate with strong organisational, communication, and interpersonal skills.
  • Excellent attention to detail.
  • Ability to multi-task while maintaining a calm demeanour.
  • Ability to exercise discretion and good judgement.
  • High level of confidentiality.
  • Ability to manage time effectively and prioritize workloads.
