Junior Crew Services Officer

The Yacht Services team provides an efficient, informed, and personal service to clients, captains, and crew. This role presents a fast-paced, rewarding opportunity to engage with a variety of global clients, devising and implementing suitable long-term solutions for both private and commercial yacht owners.

Job Duties:

  • Administer the contract and payroll process from initial employment through to termination.
  • Manage crew payroll, including social security obligations.
  • Administer Employment Agreements for new crew within 24 working hours of receipt of the required documentation/certification.
  • Accurately record all crew data on Business Central and in Document Management Systems, performing data cleansing where necessary.
  • Liaise directly with Yacht Owners, Captains, and Crew, efficiently addressing day-to-day crew employment and payroll-related enquiries with a minimum of one contact per month.
  • Ensure valid yacht, crew, and professional indemnity insurances are in place.
  • Verify crew qualification by collating and checking certification against safe manning documents.
  • Maintain valid crew certification and documentation according to MLC and flag state requirements, insurance protocols, and internal policies, ensuring contracts are in place for active crew at all times or within 24 working hours of receipt of all necessary certification.
  • Proactively monitor and follow up on yacht and crew certificates approaching expiry, ensuring compliance and notifying the Head of Crew Management of any concerns.
  • Escalate issues to yacht services specialists or management when additional support is needed.
  • Arrange crew-related travel and record crew leave as required.
  • Assist with crew recruitment when necessary.
  • Support the wider team in maintaining information on yachts under management.
  • Facilitate discussions pertinent to the wider services offered by our client, referring to the appropriate internal contact.
  • Provide cover during Team absences as required.
  • Perform other duties as necessary to ensure smooth operation in the department and wider Yacht Services division.

Job Requirements:

  • Educated to A-Level standard or above.
  • Client/customer-facing experience.
  • Yachting experience preferred but not mandatory; full training will be provided.
  • Proficient in Microsoft Office (SharePoint, Outlook, Excel, Word, PowerPoint etc.).
  • Strong communication skills, both written and face-to-face, when dealing with clients, captains, crew, and intermediaries.
  • Comfortable working in a fast-paced environment with tight deadlines and varied tasks.
  • High attention to detail and accuracy.
  • Dedication to upholding the reputation of our client for delivering the highest level of service.
  • Solution-driven with integrity, discretion, and a focus on client interests.
