The Crew Services Officer will be the primary contact for all crew employment and payroll matters within an allocated portfolio of clients and yachts. Job Duties:
- Manage the contract and payroll process from initial employment through to termination.
- Administer and process crew payroll, ensuring compliance with social security obligations.
- Onboard new clients/yachts and crew members in accordance with agreed procedures.
- Issue Employment Agreements for new crew members within 24 working hours of receiving required documentation.
- Accurately record all crew data on Business Central and in Document Management Systems, ensuring data integrity.
- Liaise directly with Yacht Owners, Captains, and Crew to efficiently handle day-to-day employment and payroll inquiries.
- Verify valid yacht, crew, and professional indemnity insurances are maintained.
- Collate and verify certification against safe manning documents to ensure crew compliance.
- Maintain valid crew certification and documentation, ensuring all contracts are in place within specified timeframes.
- Actively monitor and follow up on expiring Yacht and Crew certificates to ensure compliance.
- Conduct annual reviews of Safe Manning documents for each yacht, aligning with relevant requirements.
- Update documentation where necessary and escalate issues to senior management as needed.
- Arrange crew-related travel and record crew leave, as required.
- Assist with crew recruitment and engage with trusted partners when necessary.
- Support the broader team by maintaining information regarding yachts under management.
- Provide cover when members of the wider Crew Team are absent and undertake additional duties as requested.
Job Requirements:
- Educated to A-Level standard or above; yachting experience is preferred but not mandatory as full training will be provided.
- Proficiency in Microsoft Office (SharePoint, Outlook, Excel, Word, PowerPoint).
- Strong communication skills, both written and verbal, when dealing with clients, crew, and intermediaries.
- Ability to thrive in a fast-moving environment with tight deadlines and diverse tasks.
- Attention to detail and accuracy in all aspects of the role.
- Commitment to delivering the highest level of service and maintaining the firm's reputation.
