Company Secretarial Junior Administrator

Our client is seeking a Company Secretarial Junior Administrator to join their Company Secretarial & Statutory Team in a full-time, permanent position. The successful candidate will play a vital role in supporting the delivery of statutory and company secretarial services to a diverse portfolio of corporate and trust structures. This role is essential in ensuring compliance with Isle of Man regulatory and legal requirements. The individual will be responsible for assisting with a variety of tasks, including the preparation of statutory forms and filings, maintaining accurate statutory records, and supporting internal team communications. An eagerness to learn and develop within corporate services is crucial, as the position offers opportunities to work towards professional qualifications such as ICSA. The ideal candidate will have a proactive mindset, strong work ethic, and a professional approach, contributing positively to the team’s dynamic.

Job Duties:

  • Assist with the preparation and filing of statutory forms and returns with the Isle of Man Registry and other relevant authorities.
  • Maintain and update statutory records, registers, and databases for companies and other entities.
  • Support the preparation of board packs, minutes, and written resolutions.
  • Monitor statutory deadlines and compliance calendars to ensure timely filings.
  • Assist with company incorporations, dissolutions, and structural changes.
  • Process changes to directors, officers, registered office, and share capital.
  • Prepare standard statutory documentation and correspondence.
  • Conduct basic due diligence and document checks under supervision.
  • Liaise with internal teams and external stakeholders where required.
  • Ensure accurate electronic and physical filing of documents.
  • Support the team with administrative tasks and process improvements.

Job Requirements:

  • Strong working knowledge of the Microsoft Office package (Outlook, Word, Excel, PowerPoint).
  • Strong academic background (bachelor’s degree or equivalent preferred) and willingness to learn and develop within corporate services.
  • Willingness to work towards a professional qualification such as ICSA.
  • Clear written and oral communication skills.
  • Strong interpersonal, organisational, time management, and analytical skills.
  • Ability to work independently, problem-solve, and manage competing priorities effectively.
  • Desirable but not essential: Previous office or administrative experience; exposure to corporate, legal, or financial service environments; understanding of company structures or statutory filings; relevant qualifications or studying towards ICSA or similar.
