Receptionist

Our client is seeking a Receptionist to manage the front desk and provide essential administrative support within the office. The role involves greeting clients and visitors, ensuring a welcoming environment, and handling various office duties. The successful candidate will report to the Operations/HR Administrator and play a vital role in contributing to the smooth day-to-day operations of the office. This position requires a professional appearance and attitude, as well as excellent communication skills to interact effectively with clients and colleagues. As a key member of the team, you will be involved in managing the front desk area and ensuring that meeting rooms are tidy and presentable. This role is full-time, with working hours being from 9 am to 5 pm, Monday to Friday.

Job Duties:

  • Greet clients and visitors with a warm and professional demeanour
  • Manage the front desk area and meeting rooms to ensure they are tidy and presentable
  • Answer and direct phone calls, take messages, and handle inquiries from clients and visitors
  • Provide general administrative support to the office, including arranging meetings, handling correspondence, disbursements, and logging of incoming cheques
  • Receive, sort, and distribute mail and deliveries, as well as managing outgoing mail and courier services
  • Monitor and maintain office supplies inventory, placing orders for supplies as needed
  • Arrange lunches for directors
  • Index documentation on CCH
  • Collect and handle mail deliveries
  • Assist with other duties as requested by the office administrator, including assisting directors with general tasks, buying milk and papers, arranging taxis, and shredding

Job Requirements:

  • Excellent communication and interpersonal skills
  • Strong organisational skills and multitasking abilities
  • Professional appearance and attitude
  • Ability to handle confidential and/or sensitive information in accordance with GDPR regulations
  • 5 GCSEs, including Maths and English at a minimum of grade C
  • A full, clean driving licence is essential
  • Previous experience in a customer-facing role
  • Proficiency in Excel, Word, and Outlook
