Our client is seeking a Legal Administrator to work closely with fee earners, assisting with a comprehensive range of non-fee earning administrative tasks, as well as junior fee earning tasks. This role is designed for an individual who is highly organised, possesses solid administrative skills, and displays a willingness to adapt and be flexible. As an integral member of the central support team, the Legal Administrator will contribute towards the smooth operation of the office, ensuring that the team can achieve their fee earning targets efficiently. This position will provide valuable experience in a professional services environment, with responsibilities that span various administrative functions. The role emphasises teamwork and may involve supporting different departments as needed.
Job Duties:
- Provide full administration and support services to fee earners, including relaying messages and managing email inboxes, diaries, and appointments.
- Take responsibility for various tasks and projects aimed at enhancing team efficiency, particularly in data management.
- Undertake administrative tasks for local Probate work and actively seek opportunities to charge fees.
- Assist in arranging business development events and off-island trips, including travel, accommodation, and meetings.
- Collaborate with the wider support team to ensure smooth office operations, which may involve answering phones and managing post.
- Arrange all practical aspects of client meetings and conference calls, including preparing meeting rooms and welcoming clients.
- Work closely with client take-on procedures to ensure accurate documentation and file management.
- Assist in document and report preparation, checking for accuracy and completing proof-reading.
- Print, scan, and collate legal documents; support Court bundling for both hard and electronic copies.
- Liaise with the Court and Court Offices on behalf of fee earners.
- Assist with monthly billing, WIP lists, and processing expense claims and time entries.
- Carry out searches efficiently and support the team with legal research and analysis.
- Undertake any legal administrative work or projects assigned by Partners, the Office Manager, or other fee earners.
Job Requirements:
- Ideally a graduate, or at least educated to A level or equivalent, with strong grades.
- An administration or secretarial qualification would be advantageous.
- Previous experience in a professional services firm, ideally in a legal environment, is preferred but not essential.
- Proficient IT skills with a working knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook.
- Experience with document management systems is advantageous.
- Excellent typing and formatting skills, with the ability to multi-task and prioritise effectively.
- A willingness and ability to learn quickly.
- Team spirit and flexibility to share workload.
- Good initiative to support fee earners and resolve issues independently with appropriate supervision.
- Enthusiasm, drive, and a proactive attitude.
- A calm approach under pressure and strong attention to detail.
- Confident communication skills in all forms.
