Legal Administrator - Cayman Islands

Our client is seeking a highly organised Legal Administrator to work alongside fee earners, assisting with non-fee earning administrative tasks and supporting the effective delivery of their legal work. This position is essential to the smooth operation of the office, working closely as part of the central support team. The ideal candidate will possess solid administrative skills, exhibit flexibility, and demonstrate a willingness to adapt to various demands. Responsibilities will include managing correspondence, coordinating meetings, and contributing to business development efforts, amongst other duties. This role is office-based in the Cayman Islands, and candidates should expect a dynamic work environment where teamwork and proactive behaviour are valued.

Job Duties:

  • Provide comprehensive administrative and secretarial support to fee earners.
  • Manage emails, messages, diaries, appointments, and coordinate meetings.
  • Arrange practical aspects of client meetings and conference calls, including booking rooms and preparing them.
  • Enter meetings, events, and client information into the CRM system, ensuring accurate records are maintained.
  • Assist in organising firm, team, and business development events.
  • Coordinate off-island travel arrangements, including flights and accommodation.
  • Work collaboratively with the support team to ensure day-to-day operations run smoothly, covering reception and managing post and couriers.
  • Support matter lifecycle management, including new matter openings and engagement letters.
  • Liaise with Finance on billing processes, expense claims, and internal/external queries.
  • Prepare, format, proof-read, and convert documents and reports.
  • Manage document production, including printing, scanning, and collating.
  • Maintain electronic and physical filing systems, organising and archiving documents.
  • Assist with legal research and analysis as required.
  • Carry out other legal administration tasks and projects as delegated.

Job Requirements:

  • Ideally a graduate or educated to High School level or equivalent with strong grades.
  • An administration or secretarial qualification is advantageous.
  • Prior experience in a professional services firm, ideally within a legal environment, though this is not essential.
  • Confident and competent IT user with a sound working knowledge of MS Office applications.
  • Experience with document management systems is beneficial.
  • Excellent typing and formatting skills.
  • Highly organised with the ability to multi-task and prioritise effectively.
  • Willingness and eagerness to learn.
