Front Office Support

This role entails a permanent position within the Front Office Support team, based in Guernsey, and reports to the Deputy Co-Head of Guernsey. The successful candidate will be a motivated and reliable individual who will provide operational user support to colleagues. The ideal applicant should possess experience in general office activities and exhibit eagerness to assist with various business process-related matters. Knowledge and experience are central to this role, alongside an affinity for IT and the ability to address and explore technical challenges. The position requires a proactive approach and a dedication to maintaining high standards in all tasks undertaken.

Job Duties:

  • Manage Front Office activities, including sending post, couriers, and registered mail
  • Open, scan, and distribute incoming post
  • Assist in gathering papers, producing, and circulating board/meeting packs for various group and local committees
  • Arrange local management meetings and group forums, prepare meeting packs, and take notes
  • Perform reception duties, including welcoming visitors, setting up meeting rooms, and organising presentations/refreshments
  • Organise lunches, in-office meet and greets, and attendance at seminars
  • Order stationery and supplies for the office
  • Liaise with the landlord, co-tenants, and contractors regarding all office and garage matters
  • Ensure all equipment is operational (excluding IT issues)
  • Organise travel arrangements
  • File vault documents, retrieve documents/archive boxes, and assist with the destruction of files as per the current Destruction Policy
  • Update systems with file retrieval information, newly created files, and linking of documents
  • Undertake file reviews and file inventory monitoring
  • Provide project support

Job Requirements:

  • Strong organisational and administrative skills with attention to detail and high-quality standards
  • Proficient in MS Office, SharePoint, and other IT systems (e.g. NavOne)
  • Good problem-solving abilities and capacity for independent work
  • Ability to multi-task and perform under pressure
  • Strong interpersonal skills, being team-oriented and service-minded
  • Flexibility and a “can-do” attitude with high reliability and professionalism
  • IT affinity and an openness to exploring new technical solutions is advantageous
  • Excellent written and spoken communication skills in English are essential
