Business Support Administrator, Procurement

This role involves a key position in supporting the effective delivery of procurement, purchasing, and sales administration activities across the Channel Islands. The position requires a proactive and detail-focused individual who will be responsible for managing procurement processes, obtaining supplier quotes, preparing customer sales quotes, and coordinating software renewals and licensing. Daily operational support includes maintaining accurate records, supporting stock control, and managing print requirements. This role necessitates strong organisational and communication skills, ensuring that procurement and sales support activities are executed efficiently and in line with established processes. The post holder will collaborate closely with internal stakeholders and external suppliers, ensuring timely delivery and effective supplier relationships. Attention to detail is essential, along with the ability to handle multiple tasks and priorities in a fast-paced environment. Overall, this role offers a significant opportunity to contribute to the organisation's operational success.

Job Duties:

  • Manage procurement processes from end to end, ensuring timely delivery of goods and services
  • Obtain supplier quotes and support negotiations to ensure value for money
  • Prepare customer sales quotes, collaborating with the sales team to ensure timely delivery
  • Coordinate software renewals and licensing management
  • Maintain accurate records of all procurement activities and related documents
  • Monitor inventory levels and manage reporting to replenish key stock items
  • Assist in printer contract quotes and renewal processes within the Managed Print Services team
  • Provide general administrative support, including data entry, scheduling, and document management
  • Participate in special projects as assigned by management
  • Ensure compliance with local data protection, health and safety legislation, and company policies

Job Requirements:

  • Proven ability to build and manage effective supplier relationships
  • Excellent communication and interpersonal skills, with confidence in engaging with stakeholders and external suppliers
  • Strong organisational skills to manage multiple tasks and deadlines effectively
  • Proficient IT skills, preferably with Microsoft 365; ability to learn procurement and sales systems
  • High level of accuracy and attention to detail, particularly under pressure
  • Initiative to resolve problems and identify process improvement opportunities
  • Ability to handle confidential and commercially sensitive information in line with company policies
