Our client is an independent Family Office Services provider seeking a Senior Administrator or Assistant Manager to manage a diverse client portfolio. This role involves delivering high-quality administration, maintaining strong client relationships, and supporting the development of junior colleagues. This is an excellent opportunity for an experienced Senior Administrator looking to step into an Assistant Manager role or an existing Assistant Manager seeking a new challenge.
Job Duties:
- Administer a varied portfolio of clients, managing all day-to-day activities and correspondence.
- Maintain statutory books and regulatory documentation for client structures.
- Liaise with clients and intermediaries, ensuring timely responses and completion of tasks.
- Prepare and circulate agendas, board packs, and reports, and attend board meetings.
- Draft and finalise minutes and resolutions for meetings.
- Oversee financial aspects, including WIP analysis, invoicing, and aged debt management.
- Assist with reviewing client accounts and financial statements.
- Supervise junior team members, delegating tasks and providing coaching.
- Ensure compliance with regulatory requirements, reviewing KYC and AML documentation.
- Monitor and prioritise workload, contributing to team projects and business initiatives.
Job Requirements:
- A minimum of 4 years’ experience administering UHNW/family office clients, with at least 3 years managing a portfolio.
- A minimum of a Table 5 qualification and a willingness to study for a Table 4 qualification.
- Strong knowledge of local finance industry legislation and regulatory requirements.
- Ability to interpret client financial statements.
- Proficiency in Microsoft Office.
- Strong organisational skills with the ability to manage deadlines and conflicting demands.
- Excellent client service skills, with a proactive and collaborative approach.
- Spanish language skills are a bonus but not essential.
