Senior Crewing Administrator

Our client is seeking a full-time Senior Crewing Administrator to join their team. This pivotal role involves overseeing and assisting with the daily administration of crew employment and payroll functions across the organisation. You will work closely with the Crewing Manager and Head of Crewing to ensure the smooth operation of the office and coordinate various projects as needed. The position requires a proactive approach, with responsibilities that include managing crew records, mentoring junior team members, and ensuring compliance with relevant regulations. This opportunity is based in a dynamic and fast-paced environment, allowing you to play a significant role in supporting the crewing operations.

JOB DUTIES:

  • Ensure that the Crewing Administrators maintain accurate crew records and vessel data.
  • Support and mentor junior team members while assisting with their training.
  • Prepare reports and records as required.
  • Draft and finalise crew employment contracts and related documentation.
  • Liaise with internal departments to ensure timely payments to all crew members.
  • Ensure compliance with Flag State and STCW requirements, including coordinating pre-employment checks and monitoring qualification renewals and expiry dates.
  • Co-ordinate crew travel requirements when needed.
  • Process Flag State documents and visas as required.
  • Arrange payments to crew members via payroll software and online banking in accordance with established procedures.
  • Assist with crew and office-related projects as necessary.
  • Undertake any other reasonable duties as required.

JOB REQUIREMENTS:

  • Relevant yachting / marine experience.
  • A minimum of 5 years’ experience at an Administrator level is essential.
  • Demonstrate theoretical and practical knowledge of international and national seafarer certification regulations.
  • Highly motivated to provide exceptional levels of service.
  • Excellent organisational and communication skills.
  • Ability to work effectively both as part of a team and independently.
  • Strong aptitude for meeting strict deadlines.
  • Proficient in Microsoft Office packages and possess strong computer literacy.
