Senior Administrator, Corporate Services

Our client is seeking a Senior Administrator to join the corporate services team. The successful candidate will work independently under the supervision of a senior team member, acting as the primary day-to-day contact for delivering a range of corporate administration services to a diverse portfolio of clients and related entities.

Job Duties:

  • Managing the formation and ongoing administration of a portfolio of companies
  • Liaising with clients and third parties, including lawyers, auditors, bankers, and investment managers
  • Overseeing transaction management, including organising and attending client meetings, drafting minutes and resolutions, maintaining statutory records, and ensuring timely statutory filings
  • Processing bank payments, reconciling payment logs, and managing approvals
  • Producing and distributing invoices, managing fee collection, and chasing outstanding debts
  • Supervising and assisting in the training of Trainee Administrators and Administrators, providing feedback and identifying training needs
  • Ensuring data integrity and maximising system efficiency to enhance client service
  • Supporting process improvements to drive alignment, consistency, and efficiency
  • Monitoring WIP and billing in line with fee agreements, undertaking fee reviews as needed
  • Ensuring compliance with all relevant laws, regulations, and internal policies, particularly those related to anti-money laundering and client due diligence
  • Undertaking project work and other initiatives as required

Job Requirements:

  • 4–6 years of relevant experience in the finance industry
  • A strong academic background, with a Bachelor's degree or equivalent preferred
  • Working towards or holding a professional qualification such as ICSA
  • Excellent written and verbal communication skills
  • Strong working knowledge of Viewpoint is advantageous
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Knowledge of applicable statutory laws and related legal and regulatory requirements, including anti-money laundering regulations
  • Strong organisational skills, attention to detail, and the ability to work independently
  • Experience in training and mentoring junior team members
  • A dedicated and client-focused approach, with a drive for excellence
