Our client is seeking a Senior Administrator to join its Corporate Services team. The successful candidate will be responsible for managing a complex portfolio of client entities, ensuring quality administration, and handling company secretarial activities. This role involves working closely with senior management to provide comprehensive corporate administration support, including the formation of Jersey companies, administration of employee benefit trusts, and transactional work.
Job Duties:
- Provide administration and company secretarial services to a complex portfolio of client entities.
- Maintain and update the client database to ensure accurate record-keeping.
- Review and process changes to constitutional documents and company registers, including share capital amendments, director appointments, and share transfers.
- Ensure statutory filings are completed in accordance with regulatory requirements.
- Maintain relevant registers and prepare certifications as required.
- Manage business intelligence by maintaining client contact details and business development activity records.
- File documents appropriately, maintaining accurate physical and electronic records.
- Draft minutes and resolutions in collaboration with legal and compliance teams.
- Submit annual confirmation statements and tax returns within required deadlines.
- Monitor work-in-progress (WIP) and ensure timely client invoicing, addressing any fee issues promptly.
- Ensure client due diligence (CDD) compliance and request updated documentation as necessary.
- Accurately record billable and non-billable time daily.
- Delegate tasks effectively and provide coaching to less experienced team members.
- Contribute to a positive team environment, demonstrating a collaborative and proactive approach.
- Undertake any other tasks as required by line management.
Job Requirements:
- Hold or be working towards a recognised Level 5 professional qualification.
- Minimum of 4–6 years’ experience in a similar corporate administration role.
- Strong understanding of corporate governance principles and regulatory requirements.
- Excellent client relationship management and interpersonal skills.
- Strong organisational skills and ability to manage time effectively.
- Proficiency in Microsoft Word, Outlook, document management systems, and corporate administration software (preferably Viewpoint).
- Excellent verbal and written communication skills, with strong attention to detail.
- Commitment to professional development and meeting CPD requirements.
