Our client is seeking a Senior Administrator to join their fast-growing Fund Services team in Jersey. The successful candidate will have several years of experience administering an international portfolio while working closely with clients and their professional advisers. This role involves all aspects of fund administration at a senior level, including supporting transaction co-ordination, board governance, and client onboarding. The Senior Administrator will provide support to the Fund Services Manager, monitor client workflows, complete allocated responsibilities, and offer training and support to junior team members.
Job Duties:
- Administer a portfolio of funds, management companies, and associated fund structures.
- Act as a primary point of contact for clients, investors, and other connected parties.
- Prepare draft minutes and resolutions for entities under management.
- Coordinate client board meetings, including preparing agendas and board packs.
- Manage transactional activity, including investments, sales, capital calls, and distributions.
- Assist with the onboarding of new client entities and connected parties.
- Set up and maintain client bank accounts.
- Assist with payment transactions.
- Support and guide junior team members with workflow and development.
- Prepare general correspondence for clients and related parties.
- Process investor changes and transfers, ensuring accurate records are maintained.
- Assist with the preparation and filing of tax reports.
- Complete periodic reviews and other compliance deliverables in a timely manner.
- Identify and report potential risks and issues.
- Ensure compliance with legal, ethical, and regulatory requirements.
- Maintain good working relationships across departments.
- Respond effectively to client and intermediary queries.
- Assist in ad-hoc projects that impact clients, the team, and the organisation.
- Record time accurately in the time billing system on a daily basis.
- Prepare client invoices and ensure timely settlement of fees.
Job Requirements:
- 3-5 years' experience in a similar role within the finance industry, preferably in a private equity fund administration department.
- Holds or is studying towards a relevant professional qualification.
- Strong numeracy skills.
- Excellent written and verbal communication skills.
- Analytical and enquiring mindset, with the ability to research and apply knowledge effectively.
- Proficient in Microsoft Excel and Word at an intermediate level.
- Comfortable with technology and capable of adapting to bespoke systems and banking platforms.
- Strong organisational skills with the ability to meet deadlines.
- High standards of customer service and attention to detail.
- Proactive and able to work both independently and as part of a team.
