Our client is seeking a Legal & Office Administrator to support their Group Legal & Compliance team based in Jersey. This role involves a range of administrative and clerical duties, including document management, board pack collation, meeting coordination, and general office administration. The ideal candidate will be highly organised, proactive, and capable of handling confidential information with discretion.
Job Duties:
- Assisting with the collation and organisation of board packs for internal committee and fund board meetings.
- Managing and actioning documents received via the I-docs email and maintaining relevant document management systems.
- Keeping client, fund, and corporate documents up to date through efficient document management.
- Providing general legal and compliance administrative support, including handling correspondence, arranging meetings, and booking travel.
- Overseeing meeting room scheduling and ensuring rooms are presentable for internal and external meetings.
- Welcoming guests and ensuring they have necessary arrangements, including refreshments and IT support.
- Maintaining the presentation of public areas, addressing any issues or escalating them to the Head of Facilities.
- Ensuring the office remains tidy and well-organised.
- Managing incoming and outgoing mail and parcels.
- Assisting the HR Administrator in maintaining stock levels in the staff kitchen and stationery cupboard.
- Supporting the Head of HR with ad-hoc administrative tasks.
Job Requirements:
- Previous experience in a similar legal or office administration role is preferred.
- Proficiency in Microsoft Excel and familiarity with electronic document management and filing systems.
- Strong organisational skills with the ability to prioritise tasks under time constraints.
- High level of discretion when handling confidential information.
- Excellent attention to detail and accuracy.
- Educated to A-level (or equivalent) is desirable.
- An ICSA or similar qualification would be highly desirable.
