Trainee Administrator

Our client is seeking a Trainee Administrator to join their Fund Administration team on a full-time, permanent basis. This role offers the opportunity to develop experience in the administration of a wide range of funds and associated structures. Under the supervision of a senior team member, you will support day-to-day operations and deliver a high level of service to a diverse client portfolio, while working towards a relevant professional qualification.

Job Duties:

  • Assist with the formation and administration of a variety of fund structures and management companies.
  • Prepare minutes, resolutions, and correspondence; coordinate execution of documents and statutory filings.
  • Process bank payments, reconcile payment logs, and support expense settlements.
  • Produce and distribute client invoices; manage fee collection and debtor follow-up.
  • Maintain accurate investor records and update systems to reflect investor changes or transfers.
  • Process and coordinate investor calls and distributions.
  • Support additional administrative responsibilities as assigned by management or clients.
  • Promote accuracy and data integrity, using internal systems effectively to drive efficiency.
  • Contribute to team process improvement initiatives and align practices with business-wide standards.
  • Ensure full compliance with all applicable legislation and internal policies, particularly AML and CFT regulations.
  • Assist with investor and client onboarding, ensuring completion of due diligence and KYC processes.
  • Participate in project work and support team-wide goals and initiatives as required.

Job Requirements:

  • Strong academic background and willingness to study towards a relevant professional qualification (e.g. ICSA).
  • Experience within the finance industry is preferred.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Ability to manage tasks independently and use own initiative.
  • Strong attention to detail and commitment to maintaining data accuracy.
  • Proactive and flexible with a team-oriented approach.
  • Eagerness to learn and develop within a fund administration environment.
  • Familiarity with systems such as Viewpoint and Investran is advantageous but not essential.
