Senior Administrator, Real Estate

Our client is seeking a Senior Administrator to join their team on a full-time basis. This role involves providing high-quality administrative support and managing relationships across a varied client portfolio. The successful candidate will handle standard transactions independently and assist with more complex matters under supervision. Responsibilities also include overseeing client onboarding processes, supervising junior team members, maintaining task lists, and contributing to appraisals and development processes.

Job Duties:

  • Provide administrative support to a varied portfolio with minimal supervision
  • Manage client relationships and support complex transactions, including document overviews and summaries
  • Oversee client onboarding and the collation of KYC documentation under guidance
  • Maintain and monitor task lists, reporting on outstanding matters in team meetings
  • Supervise junior staff, delegate tasks, and provide basic training and technical support
  • Liaise with clients, advisers, bankers, and third parties such as lawyers, auditors, and investment managers
  • Prepare correspondence, coordinate meetings, and take minutes
  • Ensure timely and accurate filing of documentation in accordance with internal policies
  • Manage transactions including property acquisitions, disposals, and refinancing
  • Support accounts team to ensure client deadlines are met
  • Review WIP and time recordings to ensure accurate billing and adherence to internal procedures
  • Circulate invoices and monitor recoverability
  • Provide input into probation, appraisal, and development reviews of junior team members
  • Contribute to wider team administration and act in the best interests of the business

Job Requirements:

  • Minimum of 3 years' experience in the finance industry
  • Experience mentoring and coaching junior team members
  • Strong organisational and communication skills
  • Ability to work independently while contributing to team success
  • Knowledge of AML requirements and commitment to ongoing compliance training
  • Actively studying towards a relevant Table 4 qualification (e.g. ICSA or equivalent)
  • Commitment to attending internal training and continuous professional development
