Our client is seeking a proactive and organised Administration Assistant to join their Global Support team on a permanent full-time basis. Job Duties:
- Format and type correspondence and legal documentation
- Maintain up-to-date client files, including email and document filing, scanning, and photocopying
- Assist with billing processes including invoice preparation, distribution, and client follow-ups
- Keep business systems and records updated accurately and in a timely manner
- Support Partners and fee earners with client investigations, communication drafting and document preparation
- Organise internal and external meetings, including travel arrangements
- Prepare Court bundles and other required printing/scanning tasks
- Take ownership of allocated administrative responsibilities and work independently
- Communicate proactively with fee earners, providing timely administrative support
- Document and improve existing administrative processes to enhance efficiency and client experience
- Provide training, mentoring and support to junior colleagues
- Assist with IT and process change initiatives, including testing, training, and system upgrades
Job Requirements:
- Previous experience in an administrative role, ideally within legal or professional services
- Strong organisational and time management skills, with the ability to prioritise effectively
- Excellent attention to detail and a methodical approach to tasks
- Proficiency in Microsoft Word and Outlook; familiarity with Excel and PowerPoint is desirable
- A collaborative, tech-savvy and proactive approach to work
- Ability to work efficiently in a fast-paced environment while maintaining high-quality output
