Our client is seeking a Client Administrator to support the administration of a portfolio of fund, managed business and corporate structures. This is a full-time, permanent role offering the opportunity to gain hands-on experience in a dynamic and collaborative team. The successful candidate will be expected to contribute to the delivery of a high-quality service to clients and demonstrate strong attention to detail, communication skills, and a proactive approach to problem-solving.
Job Duties:
- Administer a portfolio of clients, companies, or entities as part of the client administration team
- Assist in the establishment, maintenance, and termination of fund, managed business and other corporate structures
- Maintain accurate statutory records and update system records accordingly
- Review client constitutive documents to ensure services remain compliant
- Coordinate director and shareholder meetings, including preparing agendas, board packs, and taking minutes
- Prepare and process bank transfers, including any cash management requirements
- Monitor and document incoming funds
- Prepare and process investor capital calls, distributions, subscriptions, and redemptions
- Assist with investment acquisitions and disposals
- Facilitate investor reporting, including circulation of financial statements, NAV reports and adviser updates
- Conduct CDD on investors and clients in coordination with the Compliance team
- Assist with periodic client file reviews and ensure accurate documentation
- Maintain board meeting trackers, agendas, and action logs to ensure timely resolution of matters
- Record time accurately for billing purposes
- Coach and support junior staff or trainees as needed
- Promote a positive compliance culture across the team
- Produce high-quality work within industry standards and agreed timeframes
Job Requirements:
- Educated to degree level or equivalent
- Minimum of 2 years' experience in fund or corporate structures administration, ideally with exposure to private equity, real estate, and regulated structures
- Studying towards a relevant professional qualification
- Excellent attention to detail and accuracy
- Strong organisational and time management skills
- Confident communicator with excellent interpersonal skills
- Proficient in Microsoft Office (Word, Excel, Outlook, O365)
- Experience with NavOne is desirable
