Senior Company Administrator

Our client is seeking a Senior Company Administrator to join their Isle of Man-based Client Services team on a full-time, permanent basis. This role involves the professional administration of a portfolio of asset-owning companies, many of which are VAT registered. You will be responsible for ensuring compliance with relevant legislation, internal policies, and regulatory requirements, while supporting the broader aims of the business through collaboration and effective client service.

Job Duties:

  • Administer a portfolio of asset-owning companies professionally, including those that are VAT registered
  • Ensure compliance with company law, VAT regulations, asset-specific rules, internal policies, and FSA regulations
  • Collaborate respectfully and inclusively with other departments to achieve company objectives
  • Keep up to date with legislative changes and best practice developments
  • Participate in onboarding of new business, company incorporations, dissolutions, liquidations, annual returns, and regulatory filings such as Economic Substance reporting and the Isle of Man Beneficial Ownership register
  • Communicate with clients, intermediaries, banks, registries, government departments, and legal advisers to ensure compliant execution of company activities
  • Review planned transactions, supporting documentation, and agreements; liaise with legal and tax advisers for appropriate guidance
  • Arrange and coordinate board meetings, present relevant information to directors, and prepare accurate company minutes
  • Conduct risk assessments and company reviews, and maintain complete and current company records
  • Open and manage bank accounts, process payments, issue client invoices, and liaise with internal accountants and bookkeepers
  • Manage internal invoicing processes, including credit control
  • Attend training sessions to support personal development and regulatory knowledge
  • Support other relevant work as requested by the company

Job Requirements:

  • Proven experience working within a regulated environment for a Corporate Service Provider
  • Demonstrable ability to manage a portfolio of asset-owning companies
  • Strong understanding of corporate governance, VAT regulations, and regulatory obligations
  • Excellent communication and interpersonal skills with the ability to engage effectively at all levels
  • Organised, proactive, and able to work independently while contributing to team success
  • Familiarity with compliance reporting such as Economic Substance and the Beneficial Ownership register
  • Competent in company meeting administration, including preparing minutes and presenting information to directors
  • Experience liaising with legal and tax professionals on technical matters
  • Strong knowledge of bank account operations and invoicing processes
  • Committed to continued professional development and maintaining up-to-date industry knowledge
