Executive Assistant

Our client is seeking an Executive Assistant who will play a crucial role in providing high-level administrative support to the CEO, CFO, Chairman, and other senior executives. This full-time position, based in Jersey, is pivotal for ensuring the smooth and efficient management of day-to-day operations. The successful candidate will be a proactive, resourceful individual who thrives in a fast-paced corporate environment, balancing multiple priorities effectively.

Job Duties:

  • Manage and organise complex calendars for the CEO, CFO, and Chairman, ensuring all meetings and events are scheduled effectively.
  • Serve as the primary point of contact for all internal and external communications related to the senior executives.
  • Organise international and domestic travel arrangements, including bookings and detailed itineraries.
  • Prepare agendas, materials, and documentation for meetings and presentations, ensuring necessary resources are in place.
  • Assist with various business initiatives and ad-hoc projects, providing coordination and support as necessary.
  • Manage expense reports for the senior executives, ensuring accuracy and timeliness in submissions.
  • Maintain documents, files, and correspondence, managing confidential information with discretion.
  • Coordinate logistics for meetings and events, from venue booking to managing guest lists.

Job Requirements:

  • 5-7 years of experience as an Executive Assistant or in a similar administrative role within a corporate environment.
  • Proven expertise in diary and calendar management for senior-level executives.
  • Excellent written and verbal communication skills, with the ability to liaise effectively with stakeholders.
  • Experience with project coordination and the ability to prioritise tasks to meet deadlines.
  • Strong organisational skills, attention to detail, and the capability to manage competing priorities.
  • A high level of discretion and professionalism in handling sensitive information.
