Senior Crew Services Officer

Our client is an independent, leading provider of bespoke private wealth, corporate administration, and yacht services to companies, individuals, and families across the globe. The Senior Crew Services Officer will play a key role in supporting the Yacht Services team, serving as the primary day-to-day contact for all crew employment and payroll matters for an allocated portfolio of clients and yachts. This full-time position offers a rewarding environment, where you will engage with a variety of global clientele to deliver tailored solutions that enhance the operational efficiency of both private and commercial yachts.

Job Duties:

  • Manage the contract and payroll process from initial employment through to termination.
  • Administer, approve, and process crew payroll, including social security obligations.
  • Provide assistance with payroll payment processing, where required.
  • Onboard new clients/yachts and their crew following established procedures in collaboration with the Head of Crew Management.
  • Issue Employment Agreements for new crew within 24 working hours of receiving required documentation.
  • Record all crew data accurately on Business Central and within the Document Management Systems, performing data cleansing as necessary.
  • Liaise directly with Yacht Owners, Captains, and Crew, efficiently addressing crew employment and payroll-related enquiries with regular monthly contact.
  • Ensure valid yacht, crew, and professional indemnity insurances are in place.
  • Verify crew qualifications by collecting and confirming certification against safe manning documents.
  • Maintain valid crew certification and documentation in line with MLC and flag state requirements, while ensuring contracts for active crew are established within 24 working hours of required certification receipt.
  • Monitor and follow up on yacht and crew certificates nearing expiry to guarantee compliance.
  • Conduct annual reviews of the Safe Manning document for each yacht in consultation with relevant stakeholders.
  • Escalate issues to wider yacht services specialists or management as needed.
  • Arrange crew-related travel and record crew leave when necessary.
  • Support crew recruitment efforts as required.
  • Contribute to the wider Group by maintaining information concerning yachts under management.
  • Facilitate discussions regarding other services offered by the Group, referring to appropriate internal contacts as necessary.
  • Provide cover for the Crew Team when absent, along with training and support for team members.
  • Participate in monthly crew management meetings and assist with ancillary duties to ensure the smooth operation of the department.

Job Requirements:

  • Educated to A-Level standard or above.
  • Previous crew management experience of over 5 years is preferred.
  • Yachting experience is beneficial but not mandatory.
  • Proficiency in Microsoft Office (SharePoint, Outlook, Excel, Word, PowerPoint).
  • Excellent communication skills, both written and face-to-face.
  • Ability to thrive in a fast-moving environment with tight deadlines and diverse tasks.
  • Strong attention to detail and commitment to accuracy.
