Our client is seeking a Business Support Officer / Receptionist to join their team in Jersey. This full-time role involves a diverse set of responsibilities supporting front office teams, including the management of facilities, reception duties, and various administrative tasks. The successful candidate will also be the primary point of contact for incoming calls and must ensure that all commitments are met to high standards and agreed deadlines.
Job Duties:
- Greet and assist all visitors to the office, managing visitor passes and arranging meeting rooms
- Manage the front office area and handle bookings for relevant arrangements, such as taxis and refreshments
- Answer all incoming general calls professionally
- Ensure compliance with guidelines and policies while delivering a high-quality service
- Accurately record and submit timesheets while considering expenditure related to facilities
- Assist senior management with expenses and relevant reporting
- Process invoices, addressing any discrepancies found
- Support financial crime controls to mitigate regulatory risk
- Undertake various administrative tasks to maintain compliance with local regulatory requirements
- Manage deliveries and couriers to and from the office
- Organise internal and external training sessions, including coordinating with third parties
- Liaise with HR and Technology regarding staff transitions and the maintenance of the organisation chart
- Oversee all facilities matters for the office building and manage access systems
- Coordinate reporting with regulators
- Handle ad-hoc projects or tasks as required
- Monitor and order supplies for meeting rooms
- Provide support to colleagues with monitoring and administrative tasks
Job Requirements:
- Experience within the finance industry is advantageous but not essential; candidates with relevant transferable skills will also be considered
- Proficiency in management reporting tools, including Excel
- Experience in customer service and working on a busy reception is desirable
- Facilities management experience is beneficial
- Strong attention to detail and an inquisitive mindset
- Highly motivated with a focus on exceeding targets
- Excellent prioritisation and time management skills
- Ability to clearly communicate concerns or reports to client teams and management
- Fluent in English; knowledge of other languages is a plus
- Strong verbal and written communication skills
