Specialist Administration, Private Equity

Our client is seeking a Specialist in Administration to join the Private Equity Operations team. This role is essential in delivering a high-quality service to Private Equity clients, necessitating close collaboration with internal teams, Investment Advisors, and third parties to ensure all client deliverables and KPIs are met. The successful candidate will act as a key member of the administration team, taking responsibility for complex client activities while also supporting junior team members and contributing to wider departmental objectives. This position offers a unique opportunity to develop a deep understanding of client structures and their bespoke requirements. The ideal candidate will manage end-to-end investor administration tasks and support team development through coaching. Compliance with internal controls and regulatory obligations will also be a crucial part of the role, ensuring a well-governed and risk-aware working environment.

Job Duties:

  • Build and maintain strong relationships with clients, Investment Advisors, auditors, and third parties
  • Develop in-depth knowledge of client structures and bespoke requirements
  • Resolve client queries and provide effective operational solutions
  • Manage end-to-end investor administration, including capital calls, distributions, transfers, closings, tax reporting, and audit confirmations
  • Perform daily and ad-hoc cash management, FX processing, invoice payments, loan facility amendments, and bank reconciliations
  • Lead by example, promoting a collaborative, professional team environment
  • Coach and develop junior team members through on-the-job training
  • Ensure compliance with internal controls, AML/KYC requirements, and regulatory obligations
  • Monitor and support departmental KPIs and policy adherence

Job Requirements:

  • Strong knowledge of Guernsey Company, POI and Partnership law
  • Proven experience in Private Equity and/or Fund Administration
  • Confident communicator with clients and senior stakeholders
  • Demonstrated people management and leadership capabilities
  • Strong analytical, problem-solving, and organisational skills
  • Ability to manage priorities and deadlines effectively
  • Advanced Excel skills; Investran knowledge advantageous
  • Self-starter, flexible, and able to perform under pressure
