Company Secretarial Administrator

Our client is seeking a Company Secretarial Administrator to principally act as Company Secretary for their Audit and Assurance divisions in Guernsey and Jersey, alongside their Accounting and Taxation Services in Jersey. The successful candidate will play a crucial role in liaising with and supporting the Boards. This position is a full-time role, offering an excellent opportunity to engage with senior stakeholders and manage important administrative functions. The role includes scheduling quarterly board meetings well in advance and ensuring all documentation is prepared and circulated efficiently. The Company Secretarial Administrator will be responsible for maintaining accurate records of meetings and facilitating client interaction, making this a multifaceted position that combines governance with administrative support. Job Duties:

  • Schedule quarterly board meetings with Board members, ensuring dates are fixed for the year in advance
  • Communicate with board and committee members prior to meetings to determine agenda items
  • Draft and update terms of reference for Boards and committees as required
  • Manage consolidation of relevant paperwork for board packs, ensuring timely distribution to attendees
  • Draft and circulate meeting notices and agendas
  • Accurately record minutes for quarterly and ad-hoc board and committee meetings, identifying action points and responsible parties
  • Follow up with board and committee members on action points, pressing for resolutions and identifying new deadlines if necessary
  • Assist with travel and event bookings, as well as providing support to managers and directors as needed
  • Perform client call backs for invoice settlements and assist in the onboarding process of new clients
  • Request and collate Client Due Diligence (CDD) information on behalf of the teams
  • Support in setting up new clients on the core system and assist with disengagement processes
  • Handle professional clearance requests, debtor chasing, and manage paper correspondence

Job Requirements:

  • CGI/STEP Diploma or equivalent, or Qualified Accountant with Professional body qualification; or a relevant functional qualification
  • Evidence of Continuous Professional Development
  • Strong organisational and time management skills
  • Excellent written and verbal communication abilities
  • Proficiency in managing multiple priorities in a fast-paced environment
  • Strong attention to detail and ability to maintain accurate records
  • Ability to work collaboratively with various stakeholders
