Legal Secretary

Our client is seeking a skilled Legal Secretary to join their team, providing essential secretarial and administrative support to a group of designated fee earners. The role aims to facilitate more efficient use of the fee earners' time, enabling them to focus on client-related work. As a Legal Secretary, you will also provide personal assistant services to Partners. Reporting directly to the Group Practice Co-ordinator and Partner(s) of the relevant legal practice group, you will play a vital role in supporting the team. The successful candidate will have previous legal secretarial experience and a strong understanding of legal documents and terminology. Job Duties:

  • Typing, transcribing, and performing various Word Processing tasks
  • Handling filing and correspondence duties
  • Managing telephone and conference call duties
  • Overseeing diary management
  • Checking and processing business-related expense claim forms
  • Managing files and archiving, ensuring all matter opening data is captured
  • Assisting with conflict checks
  • Booking meeting rooms, equipment, and catering
  • Checking and proof-reading documents and amending as necessary
  • Assisting in the creation of new clients/matters on the Document Management (DM) system
  • Providing PA support to Partner(s)
  • Assisting with matter management and team billing on the 3E CRM system
  • Adding partner and fee earner contacts and supporting marketing & business development activities
  • Acting as the first point of contact: dealing with correspondence and phone calls
  • Assisting the team with matter administration and client billing
  • Formatting documents/agreement forms
  • Organising and managing internal and external events and engagements
  • Managing databases and filing systems
  • Preparing meetings and presentations
  • Handling records management and document control
  • Scheduling meetings
  • Organising business trips, client meetings, and small events on behalf of Partner(s) and fee earners

Job Requirements:

  • Previous legal secretarial or personal assistant experience, and familiarity with legal documentation and terminology, including document/agreement formatting
  • Educated to A-Level standard (or equivalent)
  • Proficiency with MS Office applications, particularly in word processing
  • Good typing speeds and accuracy are essential
  • Secretarial/administration qualifications are advantageous
  • Excellent interpersonal and communication skills, often being the first point of contact for clients and required to make executive decisions on behalf of the Senior Lawyer/Partner
  • Ability to maintain confidentiality and exercise discretion
  • Flexibility and adaptability in a multi-team working environment
  • Strong written and verbal communication skills
  • Proactive mindset with the ability to take initiative
  • Tact and diplomacy
  • Excellent planning and organisation skills
  • Ability to prioritise effectively and efficiently under pressure
  • Team-oriented approach
