Executive Assistant

Our client is seeking a talented Executive Assistant to join their team, reporting directly to the Client Director/Business Development. This role offers flexibility with full-time hours but is open to considering part-time opportunities, particularly during school hours. The successful candidate will play a crucial role in providing comprehensive administrative support to the Associate Director, assisting in various tasks that are essential for the smooth operation of the business. Responsibilities will include diary management, taking meeting minutes, writing reports, and arranging meetings. Furthermore, internal coordination and client lifecycle data reporting will be key aspects of this position. The role also involves supporting other Directors with travel arrangements. Ideal candidates will be extremely articulate, confident, and personable, possessing the ability to communicate effectively with private clients, investors, and banks via phone and email. Awareness of KYC and compliance is essential, and the role will evolve to include project planning and onboarding of new clients, as well as managing a pipeline of potential leads.

Job Duties:

  • Provide administrative assistance to the Associate Director
  • Manage diary and schedule appointments
  • Take minutes during meetings and prepare reports
  • Arrange and coordinate meetings
  • Handle internal coordination and client lifecycle data reporting
  • Support other Directors with travel arrangements
  • Communicate with private clients, investors, and banks via phone and email
  • Ensure KYC and compliance awareness in all dealings
  • Participate in project planning and undertake ad hoc tasks as required
  • Assist with the onboarding of new clients and managing a pipeline of potential leads

Job Requirements:

  • Proven experience in an executive assistant or similar administrative role
  • Strong organisational and time management skills
  • Excellent written and verbal communication abilities
  • Confidence in engaging with high-profile clients and stakeholders
  • Knowledge of KYC and compliance standards
  • Ability to manage multiple tasks and projects effectively
  • Proficiency in Microsoft Office Suite and other relevant software
