Administrator, Corporate Actions

Our client is seeking an Administrator for their Corporate Actions team to ensure the timely administration and processing of dividends, corporate actions, shareholder meetings, disclosures, and all related events. The successful candidate will be responsible for accurately processing dividends, corporate actions, meeting notices, and disclosure requests within specified deadlines. This role involves setting up and updating files, preparing notifications to clients for all required corporate actions, and ensuring that client instructions are checked and authorised by the Client Relationship Management team. Moreover, the Administrator will prepare instructions for the Global Custodian or Fund Administrator, conducting necessary checks regarding positions, clients, and restrictions as outlined in the instruction checklist and procedures. Accurate reconciliation of allocations and entitlements following share and cash movements, along with maintaining internal records of client account holdings, will also be key duties of the role. Timely responses to client queries and communication in accordance with organisational guidelines are essential. Additionally, the Administrator will investigate and report issues while adhering to proper escalation procedures and guidelines. The role will also require assisting other areas within the team during high volume periods or staff shortages.

Job Duties:

  • Ensure accurate and timely processing of dividends, corporate actions, meeting notices, and disclosure requests
  • Set up and update files, issuing instructions within deadlines
  • Prepare notifications to clients regarding corporate actions, dividends, and meetings
  • Check and authorise client instructions with the Client RM team
  • Prepare instructions for the Global Custodian or Fund Administrator, ensuring all necessary checks are completed
  • Accurately reconcile allocations and entitlements following share and cash movements
  • Maintain internal records to reflect correct holdings across client accounts
  • Respond to client queries and communication in a timely manner following Bank guidelines
  • Investigate and report issues to management, resolving matters according to procedures
  • Develop knowledge of system support available within the organisation
  • Provide assistance to other team areas during times of high demand or staffing shortages

Job Requirements:

  • Strong personal organisation, prioritisation, and time management skills
  • Numerically competent with the ability to produce professional English communications
  • Willingness to learn from on-the-job training, including attending internal and external courses
  • Potential to undertake studies such as Securities Institute Qualifications
  • Good IT skills and knowledge of Outlook, Excel, and Word
