Front Office Support

Our client is an international independent trust company with a global customer base, seeking a motivated and reliable colleague for their Front Office Support team on a permanent basis. This role is based in Guernsey and involves providing operational user support within the office. The ideal candidate will possess experience in general office activities and demonstrate eagerness to assist colleagues with any business process-related matters. Key to this position is having the appropriate knowledge and experience, alongside an IT affinity that enables the individual to challenge and explore technical matters. Responsibilities include managing front office activities as well as various support tasks, ensuring that the office runs efficiently and effectively. This is a full-time role offering the opportunity to contribute significantly to the team's success.

Job Duties:

  • Front Office activities, including sending post, couriers, and registered mail
  • Opening, scanning, and distributing incoming post
  • Assisting with gathering papers, production, and circulation of board/meeting packs for various group and local committees
  • Arranging local management meetings and group forums, preparing meeting packs, and taking notes
  • Performing reception duties, including meeting and greeting visitors, setting up rooms for meetings, and organizing presentations/refreshments
  • Organising lunches, in-office meet and greets, and seminar attendance
  • Ordering stationery and supplies for the office
  • Liaising with the landlord, co-tenants, and contractors regarding all office/garage matters
  • Ensuring that all equipment is operational (excluding IT issues)
  • Organising travel arrangements
  • Filing vault documents, retrieving documents/archive boxes, and assisting with the destruction of files per the current Destruction Policy
  • Updating systems with file retrieval information, newly created files, and linking documents
  • Undertaking file reviews and file inventory monitoring
  • Providing project support

Job Requirements:

  • Strong organisational and administrative skills with a keen attention to detail and high-quality standards
  • Proficient in MS-Office, SharePoint, and other IT systems (e.g. NavOne)
  • Good problem-solving ability and independent working style
  • Capability to multi-task and work under pressure
  • Strong interpersonal skills and a team-player mentality
  • A flexible, “can-do” attitude paired with high reliability and a professional work attitude
  • IT affinity and a flair for exploring new technical solutions is an advantage
  • Excellent written and spoken communication skills in English are essential
