Facilities Administrator

This role presents an exciting opportunity for a Facilities Administrator, focusing on supporting the operational management of physical workspaces. The position is based in Jersey and is a full-time role, contracted for 37.5 hours per week. The successful candidate will contribute to creating a comfortable and productive environment for both employees and clients while ensuring the efficient management of facilities and infrastructure. The primary responsibilities include coordinating office supplies, managing maintenance tasks, and providing administrative support to internal stakeholders. Flexibility is essential, as the role may occasionally require providing support outside standard business hours. This position involves liaising with various teams and stakeholders to ensure all tasks are carried out in a timely and effective manner, thus enhancing the overall client and visitor experience.

Job Duties:

  • Provide support to the Facilities Management team, including coordinating office suppliers and deliveries.
  • Triage and undertake general small repairs, such as fixing door handles and ensuring general upkeep of the office.
  • Conduct weekly and monthly planned maintenance tasks, including fire alarm tests and emergency lighting tests.
  • Support all contractor attendances and assist with Health & Safety issues.
  • Maintain and organise archiving, quarterly key registers, and locker registers.
  • Assist with event management when required and support the Executive Support team with ad hoc duties.
  • Build relationships and engage in firm-wide initiatives, such as CSR activities and health and wellbeing events.
  • Take ownership of enquiries and problems, resolving or escalating issues as necessary.

Job Requirements:

  • A minimum of five years’ residency required.
  • Experience with desktop applications, particularly the Microsoft Suite.
  • Strong interpersonal skills to build and maintain relationships at all levels.
  • Ability to collaborate effectively as a team player and support colleagues seamlessly.
  • Enthusiastic and positive attitude towards learning and self-development.
  • Excellent communication and organisational skills with a proactive, adaptable approach.
  • Ability to manage and prioritise workloads while maintaining high-quality outputs.
