An opportunity has arisen for a highly organised and proactive individual to join the Asset Services team in a pivotal coordination role. This role is central to ensuring the smooth and efficient management of the team’s shared mailboxes and workflow processes. The successful candidate will act as the first point of triage for incoming requests, ensuring queries are prioritised, allocated, and actioned appropriately. Additionally, they will work closely with colleagues across the business to maintain operational efficiency, clear communication, and a high standard of service delivery, both for clients and internally. This is a temporary position for a duration of six months, and the candidate will need to demonstrate high levels of organisation and attention to detail, adapting to the dynamic nature of the role.
Job Duties:
- Manage and monitor the Asset Services shared mailboxes, reviewing and triaging all incoming queries promptly.
- Assign tasks to appropriate team members based on urgency, complexity, and ownership.
- Track and follow up on outstanding items to ensure service levels and deadlines are met.
- Send holding responses and updates to internal and external stakeholders where appropriate.
- Respond confidently and accurately to straightforward queries.
- Serve as a central coordination point across the team, balancing workloads and highlighting capacity constraints.
- Proactively escalate issues, bottlenecks, or risks to management.
- Support continuous improvement of workflow processes, mailbox management, and operational efficiency.
- Collaborate with colleagues across departments to ensure a seamless service experience.

Job Requirements:
- Highly organised with strong attention to detail.
- Proficient in Microsoft Outlook and the wider Microsoft Office suite (Teams, Excel, etc.).
- Proven ability to manage and prioritise a high volume of incoming requests.
- Strong written and verbal communication skills, with the ability to provide clear and concise updates.
- Capability to take ownership of workflows and allocate tasks, including to senior colleagues.
- A constructive challenging approach to ensure efficiency and accountability.
- Excellent time management skills and the ability to work under pressure.
