Contract Asset Services Workflow Coordinator - 6 months

This role offers a six-month contract opportunity for a highly organised and proactive individual to join the Asset Services team in a pivotal coordination position. The successful candidate will play a central role in ensuring the smooth and efficient management of the team's shared mailboxes and workflow processes. The position involves acting as the first point of triage for incoming requests, ensuring that queries are prioritised, allocated, and actioned appropriately. The individual will work closely with colleagues across the business to help maintain operational efficiency and clear communication, as well as uphold a high standard of client and internal service delivery. Responsibilities will also include managing and monitoring the Asset Services shared mailboxes, assigning tasks based on urgency and complexity, and supporting continuous improvement initiatives. The role necessitates a commitment to the organisation's values, ensuring consistent adherence throughout tasks.

Job Duties:

  • Manage and monitor the Asset Services shared mailboxes, ensuring all incoming queries are reviewed and triaged in a timely manner.
  • Assign tasks to appropriate team members based on urgency, complexity, and ownership.
  • Track and follow up on outstanding items to ensure service levels and deadlines are met.
  • Send holding responses and updates to internal and external stakeholders where appropriate.
  • Confidently and accurately respond to straightforward queries.
  • Act as a central coordination point across the team, helping to balance workloads and highlight capacity constraints.
  • Proactively escalate issues, bottlenecks, or risks to management.
  • Support continuous improvement of workflow processes and operational efficiency.
  • Collaborate with colleagues across departments to ensure a seamless service experience.

Job Requirements:

  • Highly organised with strong attention to detail.
  • Proficient in Microsoft Outlook and the wider Microsoft Office suite (Teams, Excel, etc.).
  • Proven ability to manage and prioritise a high volume of incoming requests.
  • Strong communication skills (both written and verbal), with the ability to provide clear and concise updates.
  • Confidence to take ownership of workflows and allocate tasks, including to more senior colleagues.
  • Ability to challenge constructively and speak up where required to ensure efficiency and accountability.
  • Strong time management skills and the ability to work under pressure.
  • A proactive mindset with a willingness to take initiative.
  • Ability to build effective working relationships across teams.
  • A problem-solving approach with the ability to identify and address process inefficiencies.
  • A positive attitude and team-oriented approach.
