Billing Administrator - London

This role offers an exciting opportunity for a Billing Administrator to join a progressive and open workplace within the business services department. The successful candidate will become an integral part of the Europe & Asia Revenue team, responsible for supporting the organisation in the creation and distribution of invoices. The position involves managing the revenue cycle for specified partners, from work in progress management to the finalisation and delivery of legal bills. The role will significantly contribute to process efficiencies and optimisation of working capital. The Billing Administrator will report to the Manager of the Europe & Asia Revenue based in Luxembourg. This position presents a chance to develop within a collaborative environment while being part of a growing team.

Job Duties:

  • Manage the revenue cycle for specified partners, including WIP management and legal bill production.
  • Conduct regular reviews of WIP balances in collaboration with fee earners and members of the Finance team.
  • Support complex billing requirements, involving amendments to bills, reversals, write-offs, and database amendments.
  • Serve as a subject matter expert for billing on the organisation's practice management system, enhancing internal processes and utilisation of billing functionality.
  • Oversee billing email inboxes, ensuring timely responses to queries.
  • Handle escalations and queries, steering them towards appropriate resolution.
  • Implement process improvements for both new and existing matters.
  • Monitor and ensure compliance with clients’ invoicing requirements for timely payments.
  • Liaise with clients to obtain required matter or purchase order numbers.
  • Collaborate with internal fee-earning teams to ensure invoices meet external counsel guidelines.
  • Provide ad-hoc support to the broader Finance team as required.
  • Maintain accurate records of WIP comments and forecasting against matters.

Job Requirements:

  • Prior experience working in a billing role, ideally within a legal environment.
  • Basic proficiency in Microsoft Office.
  • Experience with Aderant tools and automated workflows is preferred.
  • Highly diligent and organised, with a strong attention to detail.
  • Ability to prioritise multiple tasks and meet tight deadlines.
  • Excellent client service mentality with a proactive attitude.
  • Effective verbal and written communication skills, maintaining respect and clarity.
  • Capable of working proactively within a team and with minimal supervision.
  • Analytical and logical mindset with strong initiative.
  • Awareness of the broader commercial environment.
  • Strong team ethos and excellent client service orientation.
