Facilities Coordinator

The Facilities Coordinator role is essential in ensuring a well-organised and efficient office environment. This full-time position involves managing office facilities and day-to-day operations, with some travel required for deliveries and errands. Key responsibilities include maintaining cleanliness and organisation, handling deliveries, and overseeing office supplies. The role also entails managing equipment functionality and conducting errands to support the team effectively. Candidates will play a vital role in creating a positive work atmosphere that supports employee productivity and satisfaction.

Job Duties:

  • Collect, sort, and distribute mail and packages
  • Deliver documents or parcels to clients or vendors when needed
  • Monitor and reorder office supplies, including stationery and kitchen items
  • Keep office equipment, such as printers and coffee machines, stocked and operational
  • Handle banking tasks, including deposits and withdrawals
  • Maintain a clean, stocked, and organised kitchen area
  • Oversee the shredding and disposal of confidential documents
  • Maintain the company vehicle and ensure its good condition
  • Assist with other office tasks as needed

Job Requirements:

  • Strong organisational skills and attention to detail
  • Ability to prioritise tasks and manage time effectively
  • Excellent communication and interpersonal skills
  • Basic knowledge of office equipment maintenance (e.g., coffee machines, printers)
  • Ability to perform light manual tasks, such as handling deliveries (reasonable adjustments will be considered in accordance with Guernsey’s discrimination legislation)
  • Trustworthy and dependable when handling sensitive or confidential information
  • Previous experience in an office support, facilities, or similar role is desirable
  • A full, valid Guernsey driving licence is required, as the role involves driving a company vehicle
  • Applicants must meet the organisation’s motor insurance requirements
  • Familiarity with local banking and delivery processes is advantageous
