Legal Secretary

The role of Legal Secretary involves providing essential secretarial and administrative support to a team within the Litigation department. This is a full-time position based in the Guernsey office. The successful candidate will work closely with a group of Partners and designated fee earners, ensuring smooth day-to-day operations within the team. Duties include managing diaries, handling correspondence, coordinating travel arrangements, and taking minutes during meetings. Furthermore, the candidate will be responsible for maintaining case files and records, preparing various legal and business documentation, and assisting with billing and financial administration processes. The ideal candidate should possess previous legal secretarial or personal assistant experience and demonstrate familiarity with legal documentation and terminology, particularly in a Litigation context.

Job Duties:

  • Provide comprehensive administrative and secretarial support to the team.
  • Manage diaries, inboxes, correspondence, and telephone enquiries.
  • Coordinate meetings, travel arrangements, and minute-taking.
  • Maintain case files, records, databases, and document management systems.
  • Prepare, format, and process legal and business documentation.
  • Support client matters and legal processes under supervision.
  • Assist with billing, budgets, fee estimates, WIP, and other financial administration.
  • Conduct conflict checks and support matter management processes.
  • Contribute to projects, team initiatives, and knowledge-sharing activities.
  • Undertake additional administrative duties as required.

Job Requirements:

  • Previous legal secretarial or personal assistant experience with familiarity in legal documentation and terminology.
  • Educated to a minimum of GCSE level (or equivalent).
  • Proficiency with MS Office applications, specifically in word processing.
  • Good typing speeds and accuracy are essential.
  • Secretarial or administration qualifications would be advantageous.
