Executive Support Administrator

Our client is offering an exciting opportunity for an Executive Support Administrator within their Operations team. This full-time role will support business priorities for Partners and Directors across the Channel Islands. The role will suit individuals looking to start their career and support stakeholders in a dynamic professional services environment. The candidate will be responsible for a range of administrative duties while enhancing personal and technical skills. Job Duties: 

  • Organise client and internal meetings, including managing calendar invites.
  • Research and arrange complex travel bookings (e.g., visas, accommodation, flights, taxis).
  • Prepare documents and briefing materials for meetings, and attend meetings to take minutes when required.
  • Format internal and external documents in line with branding guidelines.
  • Maintain the firm’s Client Records Management system.
  • Manage room bookings and resolve any scheduling conflicts.
  • Monitor stakeholder mailboxes, engaging with stakeholders as necessary.
  • Ensure timely and accurate completion of timesheets and compliance training for assigned leaders.
  • Coordinate logistics for internal and external events, meetings, and training.
  • Support stakeholders during busy periods and cover for team members during planned and unplanned absences.
  • Assist with general office queries including photocopying, scanning, and laminating.
  • Help manage social media accounts and collaborate with the marketing team for campaign creation.
  • Support in the preparation of expenses and invoice claims.

  • Willingness to learn and adapt to new technologies and processes.
  • Experience with minute/note-taking is desirable.
  • Willingness to travel between Guernsey and Jersey when required.
