Our client is seeking a professional and proactive Executive Assistant to provide comprehensive organisational and administrative support primarily to the Chief Operating Officer, Territory Senior Partner, and Chief Strategy Officer. Job Duties:
- Provide executive management of diaries, ensuring stakeholders are well-prepared for meetings and engagements.
- Draft emails, review and monitor mailboxes, and take action to progress activities as required.
- Organise stakeholder meetings, including preparation of briefing notes, slides, and attendee bios, as well as producing minutes and follow-up actions.
- Coordinate travel logistics, including visas, accommodation, flights, and taxis.
- Draft, proofread, and ensure compliance of internal and external documents with brand guidelines.
- Lead and participate in strategic projects and initiatives, applying strong project management skills.
- Collate and present management information reports and dashboards.
- Provide developmental support and coaching to team members.
- Support event management, including organising offsites and leadership events.
- Manage expenses and invoice claims in compliance with relevant policies.
- Ensure confidentiality and effective handling of sensitive matters.
- Undertake ad-hoc administrative tasks and responsibilities as required.
Job Requirements:
- Strong interpersonal and communication skills with the ability to build and maintain trusted relationships.
- Proven organisational and prioritisation abilities, managing tight deadlines and conflicting priorities.
- High levels of discretion and confidentiality.
- Strong technical proficiency with experience in Microsoft 365 (desirable) and other business systems.
- Project management experience, including organising large-scale events.
- Self-motivated and resilient, with the ability to work autonomously and make decisions proactively.
- Attention to detail and accuracy in all aspects of work.
- Cultural awareness and an inclusive approach to teamwork.
- Previous experience working at an executive level and secretarial experience is desirable but not essential.
