Temporary Legal Secretary - 6 months

Our client is seeking a Legal Secretary to join their team for a period of six months, providing essential secretarial and administrative support to a designated group of fee earners. This role allows fee earners to focus more effectively on client-related work. The position is full-time, with standard working hours from 8:30am – 5:00pm or 9:00am – 5:30pm, and a 37.5-hour workweek.

 

Job Duties: 

  • Typing, transcribing, and other word processing tasks
  • Filing and correspondence duties
  • Handling telephone and conference call duties
  • Managing diaries for designated fee earners
  • Checking and processing business-related expense claim forms
  • File management and archiving, ensuring all matter-opening data is captured
  • Assisting with conflict checks
  • Booking meeting rooms, equipment, and catering
  • Working collaboratively with the Marketing & Business Development (M&BD) team, providing a range of administrative support as required
  • Checking and proofreading documents and making amendments as necessary
  • Assisting in the creation of new clients and matters in the Document Management (DM) system
  • Adding partner and fee earner contacts and ensuring the data is up to date
  • Adding partner and fee earner marketing & business development activities to contacts list
  • Adding contacts to LinkedIn profiles
  • Ensuring that partners and fee earners review and update their biographies on a regular basis, passing any amendments to the M&BD team for website updates
  • Keeping LinkedIn profiles current and up-to-date

 

Job Requirements:

  • Educated to A-Level standard (or equivalent)
  • Previous experience with some or all of the duties listed above
  • Proficiency with MS Office applications
  • Good typing speeds and accuracy are essential
  • Secretarial or administration qualifications are advantageous
  • Previous experience working in a legal environment would be beneficial but not essential
  • Strong written and verbal communication skills
  • Excellent planning and organisational abilities
  • Ability to prioritise effectively and efficiently under pressure
  • Team-oriented with a flexible approach to assisting colleagues in a multi-team working environment
