Temporary Document Management Administrator - 3+ months

Our client is seeking a dedicated Document Management Administrator to join their general medical practice on a temporary basis for a period of 3 months. This role involves managing incoming correspondence, assigning documents to clinical and administrative staff, updating patient medical records, and ensuring accurate coding of diagnoses and information. You will be part of a supportive and collaborative environment, contributing to the ongoing improvement of practice operations.

Job Duties:

  • Ensure the smooth operation of all incoming documentation and mail.
  • Sort and distribute daily courier deliveries and internal correspondence.
  • Read code new diagnoses, patient personal details, and other relevant medical information accurately.
  • Assign documents and correspondence to the appropriate clinical or administrative team members.
  • Update and maintain patient medical records in accordance with practice standards.
  • Promote and foster a collaborative and inclusive working environment.
  • Actively participate in the Practice Improvement Plan.
  • Engage in all required Health and Safety and Risk Management training.
  • Maintain strict confidentiality of sensitive and personal information at all times.

Job Requirements:

  • Minimum of 3 years’ previous experience in an administrative role.
  • Proven experience in document or data management.
  • Administration qualification preferred.
  • Good working knowledge of Microsoft Word, Excel, and Outlook.
  • High level of accuracy and strong typing skills.
  • Basic understanding of medical terminology and processes.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organisational skills.
  • Flexible and adaptable with the ability to prioritise workload effectively.
  • Ability to work both independently and as part of a team.
  • Strict adherence to confidentiality protocols.
