Our client is seeking an Executive Officer Support to join their Financial Governance Division on a full-time basis. Based within the Financial Systems Team, this role supports the core business's financial system, and is responsible for maintaining accounting services and payment processes across all departments. You will also assist in managing system users, data integrity, and reconciliations while supporting process improvements and providing guidance to users across departments.
Job Duties:
- Provide support to all users across the Departments, offering advice and facilitating system use to maximise effectiveness.
- Maintain and support all Departmental users engaged in the live E-requisition process.
- Manage user accounts, security roles, approval workflows, product categories, and designated user groups.
- Resolve issues arising during the E-requisition process and ensure open and incomplete requisitions are regularly reviewed and completed.
- Maintain fixed data such as supplier and customer records, ensuring data integrity and generating audit trails.
- Manage the supplier and customer setup process, guiding team members and ensuring all requests are properly processed.
- Conduct data cleansing exercises to remove duplication and ensure accuracy of supplier and customer records.
- Ensure Departmental E-requisition user access complies with requests and procedures, reviewing access and authority levels quarterly.
- Monitor open purchase orders, issuing quarterly reports and liaising with Departments to ensure timely closure.
- Support training initiatives and update documentation as required, particularly around the E-requisition process.
- Oversee cheque and BACS payment journal processes, ensuring proper controls and procedure documentation.
- Reconcile supplier accounts, returned payments, cheques, and multiple bank accounts in AX on a daily, weekly, monthly, and annual basis.
- Reconcile general ledger balance sheets and control account codes monthly.
- Manage and mentor two temporary Administrative Officers to support delivery of financial services.
- Provide cover for the full-time Executive Officer within the Accounts Team when needed.
- Undertake additional duties as required by the Financial Systems Manager.
Job Requirements:
- Demonstrated experience working with financial systems and accounting processes.
- Ability to interpret and apply procedures, maintain data integrity, and follow audit requirements.
- Strong communication and stakeholder engagement skills across departments.
- Experience with payment processes, including CHQ and BACS, and account reconciliations.
- Ability to manage data, resolve system issues, and perform training duties.
- Experience supervising or mentoring staff is desirable.
- Strong organisational skills and attention to detail with the ability to manage competing priorities.
