Administrator, Private Wealth

Our client is seeking an Administrator to join their Private Wealth team on a full-time basis. This role offers a unique opportunity to support experienced professionals in delivering bespoke administration services to a global portfolio of Ultra High Net Worth Individuals, Family Offices, and Charities. The position provides broad exposure to various types of structures including trusts, companies, foundations, and asset holding vehicles, offering an ideal platform for professional development within a collaborative and flexible team environment.

Job Duties:

  • Assist with the formation and administration of a portfolio of trusts, companies, foundations, and high-value asset holding structures
  • Prepare minutes, resolutions, and correspondence; coordinate document execution and ensure timely statutory filings
  • Liaise with clients and third parties such as lawyers, auditors, bankers, and investment managers
  • Process bank payments and reconcile payment records
  • Prepare and circulate invoices, manage fee collection, and follow up on outstanding payments
  • Support additional administrative responsibilities and project work as requested by managers or clients
  • Provide guidance to trainee administrators and support their development by offering feedback and identifying training needs
  • Maintain high standards of data integrity and ensure the effective use of systems to support client service and operational efficiency
  • Contribute to team-wide process improvements and ensure adherence to internal policies and procedures
  • Ensure compliance with all relevant legal, regulatory, and internal requirements, including anti-money laundering obligations and client due diligence
  • Take part in initiatives that enhance service delivery and the overall client experience

Job Requirements:

  • 1–3 years’ relevant experience in the finance industry, ideally within trust or private wealth administration
  • Strong academic background, preferably with a bachelor’s degree or equivalent
  • Working towards or holding a professional qualification such as STEP or ICSA (CGI)
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office; familiarity with Viewpoint is advantageous
  • Understanding of applicable statutory laws and regulatory requirements, including anti-money laundering regulations
  • Experience working with Jersey and Guernsey structures is desirable
  • Well-organised, detail-oriented, and capable of working independently
  • Client-focused approach with a commitment to professional excellence
