Purchase Ledger Administrator

Our client is seeking a Purchase Ledger Administrator to join their busy administration department on a permanent, full-time basis. This role plays a key part in the day-to-day running of both the purchase and sales ledgers, contributing to the company’s financial operations and providing administrative support across various teams. The position involves close collaboration with the Finance Director, senior management, and other departments to ensure efficient and accurate ledger processing.

Job Duties:

  • Process and log supplier invoices accurately
  • Reconcile supplier statements and resolve discrepancies
  • Prepare and log supplier claims and credit notes
  • Reconcile and process freight accounts
  • Handle supplier communications regarding non-payments, claims and discrepancies
  • Process sales ledger credit notes and adjustments
  • Respond to customer enquiries and account queries
  • Match and log shipping invoices
  • Support the month-end process by packing invoices and statements
  • Maintain accurate paper and digital records
  • Verify pricing accuracy on supplier invoices where discrepancies exceed 10%
  • Assist with customer account queries and provide reception/switchboard cover as required
  • Count and manage cash handling responsibilities

Job Requirements:

  • Previous experience in a similar purchase ledger or finance administration role is desirable
  • Strong customer service orientation with the ability to build positive relationships
  • Experience with computerised accounting systems, especially purchase and sales ledger processes
  • High level of accuracy and attention to detail
  • Proficient in Microsoft Office, particularly Word, Excel, and Outlook
  • Reliable, organised, and calm under pressure
  • Able to meet deadlines and work efficiently as part of a team
  • Flexible and professional in approach
