Our client is seeking a Senior Administrator to join their Real Estate Services team on a permanent, full-time basis. Working under the supervision of a senior team member, the successful candidate will act as the primary day-to-day contact for a diverse portfolio of clients and related entities, delivering a wide range of corporate administration services within the real estate sector.
Job Duties:
- Manage the formation and ongoing administration of a portfolio of companies
- Liaise with clients and third parties including lawyers, auditors, bankers and investment managers
- Coordinate and manage transactions, including drafting minutes and resolutions, arranging statutory filings and maintaining statutory records
- Process bank payments, reconcile payment logs and handle approval processes
- Prepare and issue client invoices, monitor fee collection and follow up on outstanding payments
- Supervise and support the development of junior team members, including trainees and administrators
- Ensure data integrity and efficient use of systems to enhance client service
- Promote best practices and contribute to process improvements and service innovation
- Monitor WIP and billing in line with fee agreements and perform fee reviews as needed
- Ensure compliance with all applicable laws, regulations and internal policies, particularly regarding anti-money laundering and record-keeping
- Undertake project work and contribute to business initiatives as required
Job Requirements:
- 4–6 years' relevant experience within the finance industry, ideally in corporate services or real estate
- Strong academic background; Bachelor's degree or equivalent preferred
- Working towards or holding a relevant professional qualification such as ICSA
- Excellent written and verbal communication skills
- Knowledge of Viewpoint and strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Solid understanding of statutory laws and regulatory requirements, including AML regulations
- Ability to work independently with a proactive approach and high attention to detail
- Experience mentoring or training junior colleagues
