Senior Administrator, Real Estate Services

Our client is seeking a Senior Administrator to join their Real Estate Services team on a permanent, full-time basis. Working under the supervision of a senior team member, the successful candidate will act as the primary day-to-day contact for a diverse portfolio of clients and related entities, delivering a wide range of corporate administration services within the real estate sector.

Job Duties:

  • Manage the formation and ongoing administration of a portfolio of companies
  • Liaise with clients and third parties including lawyers, auditors, bankers and investment managers
  • Coordinate and manage transactions, including drafting minutes and resolutions, arranging statutory filings and maintaining statutory records
  • Process bank payments, reconcile payment logs and handle approval processes
  • Prepare and issue client invoices, monitor fee collection and follow up on outstanding payments
  • Supervise and support the development of junior team members, including trainees and administrators
  • Ensure data integrity and efficient use of systems to enhance client service
  • Promote best practices and contribute to process improvements and service innovation
  • Monitor WIP and billing in line with fee agreements and perform fee reviews as needed
  • Ensure compliance with all applicable laws, regulations and internal policies, particularly regarding anti-money laundering and record-keeping
  • Undertake project work and contribute to business initiatives as required

Job Requirements:

  • 4–6 years' relevant experience within the finance industry, ideally in corporate services or real estate
  • Strong academic background; Bachelor's degree or equivalent preferred
  • Working towards or holding a relevant professional qualification such as ICSA
  • Excellent written and verbal communication skills
  • Knowledge of Viewpoint and strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Solid understanding of statutory laws and regulatory requirements, including AML regulations
  • Ability to work independently with a proactive approach and high attention to detail
  • Experience mentoring or training junior colleagues
  • Committed to delivering excellence in service for clients and the wider team
