Our client is seeking a highly organised and detail-oriented temporary Executive Support Administrator for a 6-month fixed-term contract. This role is pivotal in providing comprehensive administrative and operational support to the Company Secretary, Executive Team, and Board. The successful candidate will help ensure the efficient coordination of meetings and governance activities while supporting executive and board operations.
Job Duties
- Coordinate board and sub-committee meetings, including scheduling, logistics, and diary management.
- Support the preparation and distribution of board packs and meeting materials in line with governance timelines.
- Administer minutes and track actions from board and executive meetings.
- Maintain governance documentation, including Terms of Reference, Board Policy Manual, and the Schedule of Matters Reserved for the Board.
- Assist with the maintenance of statutory registers and company records in line with legal and regulatory requirements.
- Support the upkeep of the register of potential conflicts of interest for Board Members and colleagues.
- Assist with Registry filings and compliance submissions under the direction of the Nominated Person.
- Provide administrative support for governance-related communications with Government officials and external stakeholders.
- Manage diaries, book travel and accommodation, and coordinate logistics for meetings and events for the Executive Team.
- Organise corporate events such as strategy days, executive offsite visits, and stakeholder engagement sessions.
- Support the administration of the risk management system, ensuring timely updates from risk owners and follow-ups on overdue actions.
- Assist the Head of Finance in preparing risk reports and dashboards, as well as with internal audit reviews.
- Support the Data Protection Officer and internal data working group in meeting coordination, minute-taking, and action tracking.
- Maintain accurate records and document management aligned with internal policies and external regulations.
- Contribute to continuous improvement initiatives across governance, risk, and compliance frameworks.
- Build effective working relationships across departments and with external stakeholders.
- Handle sensitive information with discretion and professionalism.
