The role of Senior Administrator is pivotal in supporting the Administration, Statutory and Review function, requiring the post holder to work independently and collaboratively across various teams. This is a full-time position based in the Isle of Man. The individual will manage the scheduling of annual Periodic Reviews for clients, ensuring compliance with internal procedures and regulatory requirements. The role also involves maintaining excellent knowledge of Isle of Man statutory requirements, as well as familiarity with other jurisdictions.
Job Duties:
- Carry out Periodic Reviews of the client base, as part of the ongoing monitoring programme.
- Review outstanding matters/tasks on client files that require addressing.
- Ensure client records are complete, accurate, and up to date, complying with policies and standard procedures.
- Update permanent records, files, and databases, documenting the updates in review forms.
- Provide a list of missing items for follow-up with the Administrator responsible for the client relationship.
- Identify and report any unusual business activity patterns and raise internal suspicious activity reports as necessary.
- Highlight training needs and other actions to the Private Client Director when common errors are identified.
- Escalate non-compliance issues to the Compliance Officer and Private Client Directors.
- Manage and monitor the completion of onboarding documentation.
- Assist with the New Business onboarding process and manage client closures.
- Prepare management and board reports on the review process and statistics.
- Manage the Action Point schedule and monitor progress on closing action points.
- Report monthly on Action Points and Periodic Reviews to the Admin teams, highlighting trends and issues to the Board and Compliance.
- Conduct statutory administration, including the setup of entities, closures, liquidations, dissolutions, and new incorporations.
- Monitor statutory filing requirements across all jurisdictions.
- Remain informed of jurisdictional statutory changes and relevant financial, legal, and regulatory frameworks.
- Respond to enquiries from internal stakeholders.
Job Requirements:
- 5 to 10 years’ industry experience, preferably in company and trust administration.
- Advanced knowledge of the global business and fiduciary services sector.
- Sound knowledge of legal and regulatory requirements applicable to the Isle of Man and anti-money laundering frameworks.
- Good written and verbal communication skills.
- Proficient in Microsoft applications, specifically Word and Excel.
- Ability to work both independently and as part of a team.
- A proactive approach to work and the ability to work under one's initiative.
- Positive attitude with problem-solving ability.
- Strong time management, prioritisation, and organisational skills.
- High attention to detail and accuracy.
- Excellent knowledge of Viewpoint would be advantageous.
